The ATO require employers to lodge a Tax File Declaration for all new employees and when employee details change. For example, an employee moves from part time to full time.
To complete and file a Tax File Declaration, please complete the following:
- Follow the link below to a PDF copy of a Tax File Declaration.
- Complete the form and keep it on file at your office.
- Enter the Tax File Declaration into Xero
- File the Tax File Declaration with the ATO through Xero.

Please note, you will require payroll administration access to enter and lodge the Tax File Declaration with the ATO.
Storing and disposing of TFN declarations
The employer should keep a copy of the form on file.
The TFN guidelines issued under the Privacy Act 1988 require employers to use secure methods when storing and disposing of TFN information. You may store a paper copy of the signed form or electronic files of scanned forms. Scanned forms must be clear and not altered in any way.
